- your selected service, options and estimated price;
- your preferred date and fitting preference; and
- enquiry notes and any other information you choose to include.
Please do not include sensitive personal information in the enquiry notes. The website does not collect payments or payment-card details.
3. How and why we use your information
We use the information to:
- respond to your questions and enquiries;
- check vehicle compatibility and prepare a quotation;
- discuss availability and arrange or manage a booking;
- keep appropriate business records and resolve issues; and
- protect the website and our communications from misuse.
4. Our lawful bases under the GDPR
We rely on the following lawful bases, depending on the situation:
- Steps before entering a contract and performance of a contract: when you ask for a quotation, request a booking or ask us to provide a service.
- Legitimate interests: to manage and respond to enquiries, operate our business, keep proportionate records, prevent misuse and resolve customer-service issues. We consider these interests against your privacy rights.
- Legal obligations: where we must keep or use information to comply with applicable tax, accounting, consumer protection or other legal requirements.
We do not rely on consent merely because you choose email or WhatsApp as the way to contact us.
5. Service providers and contact channels
Formspree
When you select “Send email enquiry”, the information in your enquiry is sent to Formspree, which processes the website submission so it can be delivered to NDS Customs. Read the Formspree Privacy Policy.
If you select “Enquire via WhatsApp”, the website opens WhatsApp with a message prepared from your enquiry details. Your information is sent through WhatsApp only if you choose to send that message. WhatsApp processes that communication under its own terms and privacy policy. Read the WhatsApp Privacy Policy for the European Region.
NDS Customs uses Gmail to receive and manage email enquiries. Google processes email information under its applicable service terms and privacy policy. Read the Google Privacy Policy.
We may also share information where required by law, or with professional advisers and service providers where reasonably needed to operate the business. We do not sell your personal information.
6. International data transfers
Formspree, WhatsApp, Google or their service providers may process information in countries outside Ireland or the European Economic Area. Their linked privacy information explains their processing locations and the transfer arrangements they use where applicable. The exact location can depend on the service and account settings. You can contact NDS Customs if you would like more information about the providers used for your enquiry.
7. How long we keep information
Enquiries that do not become bookings are deleted 12 months after the last enquiry or contact about that enquiry.
If an enquiry becomes a booking, booking, transaction and accounting records are kept only for as long as necessary for applicable legal obligations and legitimate business purposes. Copies held by service providers may be retained according to their own retention and deletion rules.
8. Your data-protection rights
Depending on the circumstances, you may have the right to:
- access the personal information we hold about you;
- correct inaccurate or incomplete information;
- ask us to erase information;
- ask us to restrict how information is used;
- object to processing based on legitimate interests; and
- receive certain information in a portable format.
These rights are not absolute and may depend on the reason we hold the information. To exercise a right, email ndscustoms.ie@gmail.com. We may need to confirm your identity before acting on a request.
You may also complain to the Irish Data Protection Commission. See the DPC’s guidance on individual rights under the GDPR or visit dataprotection.ie.
9. Security
We use reasonable technical and organisational measures appropriate to the nature of the information, including limiting access to people and service providers who need it and using established communication services. No internet transmission or storage system can be guaranteed to be completely secure.
10. Cookies, analytics and tracking
The current website code does not set cookies and does not use analytics, advertising pixels or similar tracking technologies. The website does not place a cookie banner because none is currently required for those purposes.
The website hosting service may create basic technical server logs, such as an IP address, browser information, requested page and time, for security and reliable operation. The details depend on the hosting service used. If analytics or non-essential cookies are introduced later, this policy and any required choices will be updated before they are used.
11. Changes to this policy
We may update this policy when our services, providers or legal obligations change. The latest version will be published on this page with its updated date.
